Knowledge Base

A knowledge base centralizes property information so teams and automation can answer prospect and resident questions consistently.

Definition

A knowledge base is a centralized, maintained source of answers about a community or portfolio. In multifamily operations, it typically holds information such as policies, amenities, office hours, application requirements, resident procedures, and other community details that are not handled by systems like the property management system or CRM. When connected to AI or automation tools, it helps those tools give more accurate, consistent answers to prospects, residents, and staff.

Example

A prospect asks, “What’s your pet policy, and is there a pet fee?” The leasing automation checks the property’s knowledge base for the approved pet policy and fee details, then responds with the same information a leasing team member would use.

Why it matters

A well-maintained knowledge base reduces time spent answering routine questions and helps teams provide consistent information across properties and channels. It also protects operational knowledge from being lost when staff change roles or leave, which is especially important as portfolios grow.
