Lead management

Lead management tracks and nurtures prospective renters from inquiry through tour, application, and lease.

Definition

Lead management is the set of systems and processes used to capture, track, qualify, nurture, and convert prospective renters from first inquiry to signed lease. In multifamily operations, it connects marketing responses, guest cards, follow-up, tour scheduling, applications, and leasing handoffs so teams know each prospect’s status and next step.

Example

A prospect submits an inquiry for a two-bedroom apartment, creating a guest card. The leasing team records the desired move-in date, follows up by text and phone, schedules a tour, updates the prospect’s status after the visit, and tracks whether the lead becomes an application or signed lease.

Why it matters

Lead management matters because rental inquiries are time-sensitive and directly affect leasing velocity, occupancy, and cash flow.
