Maintenance status update

A maintenance status update tells residents and teams where a work order stands, from received to completed.

Definition

A maintenance status update is a message or system change that tells a resident or operations team where a work order stands. Common statuses include steps such as received, assigned, in progress, on hold, and completed. These updates help residents know their request has not been forgotten and give teams a shared record of progress.

Example

A resident submits a leaking sink request. The maintenance team marks the work order as assigned, then in progress when a technician starts the repair, on hold while waiting for a part, and completed after the closing note is submitted.

Why it matters

Maintenance status updates reduce uncertainty for residents and cut down on repeated “what’s the status?” calls, emails, and office visits. For operations leaders, consistent updates also create a clearer work order timeline, making it easier to track response times, identify delays, and improve team efficiency.
