Occupancy status shows whether each apartment unit is occupied, vacant, on notice, or otherwise tied to leasing and operations.
Definition
Occupancy status is the unit-level label that shows whether an apartment is currently occupied, vacant, or in another leasing-related state such as notice or pre-leased. It helps teams distinguish a unit’s current living situation from broader metrics like occupancy rate, which rolls many unit statuses into a portfolio or property percentage. Because counting rules can vary, operators should define clearly which statuses count as occupied for reporting.
Example
A 200-unit community reviews its unit-by-unit report each morning. Three units are marked vacant, two are on notice, and one is pre-leased, so the manager prioritizes make-ready work for the vacant units while the leasing team follows up on upcoming move-outs.
Why it matters
Occupancy status matters because it connects leasing, maintenance, and revenue management to the same unit-level facts. Accurate status data helps leaders set leasing priorities, schedule turns, forecast vacancy risk, and avoid relying on a high-level occupancy rate that may hide unpaid rent, upcoming move-outs, or units not yet ready for move-in.
