Photo Documentation

Photo documentation is the practice of capturing and storing photos as part of an operational record, such as an inspection, repair, notice delivery, or unit turnover. In multifamily operations, strong photo documentation is typically timestamped, tied to the correct unit or property, and stored where teams can retrieve it later. It turns a written note into visual evidence of what happened, when it happened, and what condition existed at the time.

A maintenance technician completes a leak repair, adds notes to the work record, and uploads photos of the damaged area before repair, the completed repair, and the cleaned-up space. If the resident later reports the same issue, the team can compare the new condition against the prior documented record.

Photo documentation helps operations leaders improve accountability, reduce disputes, and maintain more complete service histories. It supports compliance and risk management by preserving visual proof for inspections, notices, safety checks, repairs, and property condition records.
