Pipeline

A pipeline tracks leasing prospects through stages from inquiry to signed lease, helping operators spot delays, conversion gaps, and follow-up issues.

Definition

A pipeline is a structured view of the stages a prospect moves through on the way to a signed lease. In multifamily leasing, it commonly tracks steps such as new inquiry, contacted, tour scheduled, application, approval, lease creation, lease signed, and closed. Pipeline reporting helps teams see where prospects are converting, stalling, or dropping off.

Example

A regional manager reviews the leasing pipeline for three communities and sees that one property has many prospects stuck after tour scheduled. The team checks follow-up practices, confirms tour availability, and adjusts ownership for next-step outreach.

Why it matters

Pipeline visibility helps operations leaders manage leasing execution across properties, not just count leads. It shows where delays occur, whether follow-up is consistent, and how performance varies by community, market, or marketing source.
