Phone tree

A phone tree routes callers through automated menu options to the right team, helping multifamily leaders manage call volume and escalations.

Definition

A phone tree is an automated phone menu that asks callers to choose options, such as pressing a number or speaking a short response, so the call can be routed to the right person, team, or information. In multifamily operations, it is often used to separate leasing, resident, maintenance, vendor, and after-hours calls before they reach staff. It can also be measured through call volume, call duration, time-of-day patterns, caller intent, and routing outcomes.

Example

A resident calls after hours about a water leak. The phone tree asks whether the call is for leasing, maintenance, or another resident issue, then routes the maintenance emergency to the designated on-call contact instead of sending it to the leasing office voicemail.

Why it matters

Phone trees affect how quickly callers reach the right help, especially during high-volume periods and after hours. For operations leaders, phone tree reporting can reveal staffing needs, confusing menu paths, missed escalations, and whether calls are being resolved or routed elsewhere. Poorly configured phone trees or downstream call menus can delay urgent transfers, including maintenance emergencies.
