Resident Communications

Resident communications are the messages and workflows property teams use to support residents across the lease lifecycle.

Definition

Resident communications are the ongoing messages and conversations between a property team and residents throughout the lease lifecycle. They include routine updates, answers to questions, maintenance coordination, community announcements, escalations, and feedback across channels like text, email, and voice. A strong resident communications workflow defines who owns each message, when it is sent, how issues are routed, and how records are kept.

Example

A resident texts that they will not be home during a scheduled maintenance visit. The maintenance team confirms access instructions, sends a status update after the visit, and routes any unresolved issue to the onsite team so the resident receives a timely follow-up.

Why it matters

Resident communications affect service consistency, response time, satisfaction, and trust across a portfolio. For operations leaders, a standardized workflow helps teams reduce missed messages, route escalations clearly, coordinate maintenance access, and deliver a more consistent resident experience across communities.
