Smart access

Smart access uses electronic locks and digital credentials to manage property entry for residents, staff, vendors, guests, and prospects.

Definition

Smart access is the use of electronic locks, readers, and digital credentials to manage entry to apartment units, buildings, amenity spaces, and other controlled areas. It can include code-based access, fobs, cards, mobile credentials, visitor passes, remote permission updates, and access history. In multifamily operations, smart access helps manage entry for residents, prospects, staff, vendors, and guests.

Example

A regional operations team gives a vendor temporary access to a vacant unit during approved service hours, enables a prospect to complete a self-guided tour, and then revokes both credentials when the work and tour are complete.

Why it matters

Smart access matters because it reduces reliance on physical keys, helps teams control who can enter specific spaces, and creates a record of access activity. For operations leaders, it can support self-guided leasing, vendor coordination, move-in and move-out workflows, and more consistent access procedures across a portfolio.
