System of Record

A system of record is the official data source teams rely on for key multifamily operations information.

Definition

A system of record is the designated place where an organization keeps the official version of a specific type of data. In multifamily operations, the property management system often serves this role for resident records, lease dates, unit status, payments due, move-ins, move-outs, and work orders. Other tools may use this data, but teams treat the system of record as the place to check or update the operational record.

Example

A regional manager wants to confirm whether Unit 204 is vacant, occupied, or scheduled for move-out. Instead of relying on a spreadsheet or a message thread, the team checks the property management system because it is the system of record for unit status and lease information.
