Work order management is the end-to-end process for capturing, assigning, tracking, completing, and reviewing maintenance work. In multifamily operations, it turns resident requests, inspection findings, preventive tasks, emergencies, and make-ready work into structured records with details such as issue, location, priority, assignee, status, and outcome. A clear process helps teams keep repairs from getting lost in emails, texts, or informal handoffs.
Example
A resident reports that an apartment HVAC system is not cooling. The request is converted into a work order with the unit number, issue description, priority, assigned technician, appointment notes, parts used, completion status, and any resident follow-up before the job is closed.
Why it matters
Work order management matters because maintenance affects resident satisfaction, staff productivity, cost control, and asset condition.
