Work orders

A work order is a trackable maintenance task used to assign, complete, and measure property repairs and service requests.

Definition

A work order is a formal maintenance task that records what needs to be done, where it is located, and who is responsible for completing it. In multifamily operations, work orders commonly start from resident requests, inspections, scheduled maintenance, or staff-reported issues. They are used to assign work, track status, document completion, and measure maintenance performance.

Example

A resident reports that the HVAC system in Unit 204 is not cooling. The site team creates a work order with the unit number, issue description, priority, and assigned technician, then tracks it until the repair is completed and documented.

Why it matters

Work orders give operations leaders a consistent way to manage maintenance across communities, teams, and vendors. They help prevent requests from getting lost, make technician workloads visible, and support metrics such as completion time and total completed work orders.
